Claude Cowork: turning Claude into a digital colleague that actually works

Claude Cowork lets Claude read your files, create documents, and run tasks autonomously. No more copy-pasting. Here's how to set it up.

Claude Cowork is the mode within Claude Enterprise where Claude gains access to your local files, creates documents, and executes tasks on its own. No more copying and pasting between tools. Claude works directly inside your file system — and through scheduled tasks, it runs in the background while you focus on other things.

Most organizations that purchase Claude Enterprise spend the first few months using it as a sophisticated chat window. Useful for drafts, summaries, emails. But the real productivity gains do not come from chat — they come from Cowork. That is the point where Claude stops answering and starts working.

Chat vs. Cowork: what actually changes

In standard chat, you write a prompt, read the response, and copy the useful parts into a document or email. Cowork removes that step. With explicit per-folder permissions, Claude gains read access to your local file system. It processes the contents of existing files without manual pasting, writes output directly to your working folder, and executes recurring tasks automatically via scheduled tasks.

The difference is not subtle. Teams that move from chat to Cowork consistently report experiencing Claude as a colleague for the first time rather than a tool. The reason is context. Cowork remembers who you are, what you are working on, and what format you expect — every single time.

What Cowork can do

Cowork is not a single feature. It is a set of capabilities that together enable a fundamentally different way of working. The core functions:

  • Read and process files. Claude reads documents in the folders you designate — Word files, Markdown, CSV, JSON, plain text. That context is applied to every task you give it, with no copying required.
  • Create and update documents. Output goes directly to a file in your working folder rather than a chat window. Claude writes, you review before anything leaves the building.
  • Scheduled tasks. Tasks you configure once, Claude executes on a schedule. A status overview every morning. A report every week. Files processed as soon as they land in a folder.
  • Per-project instructions. Via the Projects feature, you configure standing instructions per work context. Claude knows the tone of voice, standard formats, and client background — without re-briefing every session.
  • Invoke skills. Reusable workflows — /brief, /meeting, /report — that team members trigger with a single command. The logic lives in the skill, not in the prompt.
Cowork requires the Claude Enterprise desktop app with explicit per-folder permission grants. Claude never has access beyond what you designate. Per folder, per session, transparent.

Setting up your folder structure

The effectiveness of Cowork depends directly on the structure of the folders you share. Not everything needs to be visible — and that is by design. A starting structure that works for teams of 10 to 50 people:

  1. claude-context/ — The folder Claude reads on every task. Place instructions, style guides, tone of voice rules, brand guidelines, and a template overview here. Small files, high signal density.
  2. claude-input/ — Files Claude is allowed to process. Incoming data, raw meeting notes, briefing texts, completed forms. Claude picks these up automatically when instructed.
  3. claude-output/ — Files Claude creates. Drafts, summaries, reports. Everything here is a draft until a human approves it.
  4. projects/ — One subfolder per client or project, with background information Claude may read when working on tasks for that project. Name, scope, status, key contacts.

Never share your entire drive or personal folders. No financial files outside the immediate work assignment. No credentials or password managers. Cowork is powerful precisely because it is scoped — keep it that way.

Set up an instruction file as an anchor: a file named INSTRUCTIONS.md or claude-instructions.txt in the context folder. This file tells Claude who you are, how you write, which formats you use, and what must never appear in the output. Claude reads this on every task automatically.

Automating your first tasks

Not every task is a good fit for Cowork. The best candidates meet three criteria: high frequency (at least weekly), fixed structure (same steps each time), and limited creativity requirement (processing, summarizing, formatting). Wrong choice: writing a strategy. Right choice: turning raw meeting notes into a structured summary.

Five tasks that teams typically start with:

  1. Meeting notes. Raw notes into claude-input/, structured minutes into claude-output/ — in your organization's standard format, with action items, owners, and deadlines.
  2. Weekly overview. Every Monday, Claude generates a summary of open action items based on the meeting notes from the previous week.
  3. Inbound request processing. Summarize incoming inquiries into a standard format for the sales pipeline — immediately actionable, no reading loss.
  4. Contract reviews. Scan new contracts for deviations from your standard terms. Claude marks what differs. The lawyer decides.
  5. Status reports. Recurring project status updates generated from input in the project folder.

Scheduled tasks

Scheduled tasks are the feature that makes Cowork genuinely asynchronous. You configure a task once — when, based on which input, in which format — and Claude executes it on schedule without any further action from you.

A scheduled task has four elements:

  1. Trigger. When does Claude run the task? Daily at 07:30, every Monday, or as soon as a new file appears in the input folder.
  2. Input. What does Claude process? Files in a specific folder, a file that always has the same name, or information you explicitly supply.
  3. Instruction. What should Claude do? Write this as a detailed instruction in your claude-context/ folder — as specific as possible.
  4. Output. Where does the result go? A file in claude-output/, a fixed name with date, a location you check every morning.

An example that works immediately for most teams: the daily briefing. Claude reads all notes and meeting summaries from the past 24 hours, combines them with open action items, and writes a concise one-page briefing. Ready every morning before your first meeting. Time to configure: around thirty minutes.

Tips from teams already using it

Based on our own implementations and the teams we have guided, these are the insights that make the biggest difference:

  • Start with one task, not five. The temptation is to automate everything immediately. Teams that start with one well-chosen task build confidence and understand what Claude does when something goes wrong. Teams that start with five get stuck on error handling.
  • Write instructions as rules, not questions. 'Write an action item list' is vague. 'Create a numbered list of every sentence containing a name and implying an action. Format: [name] — [action] — [deadline]' is what Claude processes correctly.
  • Build in a review step. Output from Claude always passes through a human before it leaves the organization. Make this explicit in your workflow — not as an exception, but as the standard.
  • Keep the context folder tight. A ten-line instruction file works better than a fifty-line one. Claude reads everything, but the quality of instructions determines the quality of output.
  • Evaluate monthly. Which tasks consistently produce good output? Which produce inconsistent results? Adjust instructions based on real outcomes, not assumptions.
Claude Cowork is not a replacement for human judgment. It is a multiplier for tasks too repetitive for your best people, but too complex for standard automation.
